You’ve secured your date at The Estate at Sweetwater Creek, and that was the biggest (and most important) decision you’ll make in this entire planning process. The view is yours. The mountains are your backdrop. Now let’s walk through what the next 12 months should look like.

We’ve hosted a lot of weddings here in the Smokies, and if there’s one thing we know, it’s this: planning feels overwhelming when you don’t know what’s next.

So here it is — your Estate at Sweetwater Creek roadmap.


12 Months Out: Set the Foundation

This is your “big picture” season.

• Finalize your guest count range

• Secure your key vendors (photographer, coordinator, hair & makeup)

• Start dress shopping

• Decide on your overall aesthetic (formal, romantic, modern mountain, etc.)

If you’re planning a Smoky Mountain wedding, especially in peak season, vendor availability goes quickly. Booking early keeps everything cohesive.

This is also a great time to schedule engagement photos. We offer all of our couples a complimentary portrait session window at The Estate, giving you private access to the property for engagement photos. It’s one of our favorite perks. You get the mountain views, the golden light, and a relaxed, no-pressure setting to celebrate this season of your engagement.


9 Months Out: Design + Details

Now we start shaping the experience.

• Choose your ceremony location on property (Grand Terrace, Magnolia Crest, or one of our Scenic Vista setups)

• Begin floral conversations

• Start thinking through color palettes that complement the mountains

•Start planning Save the Dates (especially for destination guests)

Many of your guests may travel from out of town — some staying in nearby cabins, others in Gatlinburg or Pigeon Forge. Giving them plenty of notice makes the weekend smoother for everyone.


6 Months Out: Logistics Mode

This is when things start to feel real.

• Finalize catering decisions

• Book rentals if needed

• Secure transportation (if guests are shuttling)

• Begin drafting your wedding day timeline

• Order invitations

3 Months Out: Fine-Tuning

You’re in the home stretch.

• Finalize guest list

• Confirm vendor details

• Schedule your final dress fitting

• Plan your seating chart

• Think through personal details (vows, special dances, signature cocktails)

This is also when we’ll start working more closely with you on your setup and vendor coordination to make sure everything flows seamlessly on wedding day.


30 Days Out: The Final Stretch

At this point, most of the big decisions are done.

• Finalize your final timeline with your coordinator and our team 

• Complete your vendor contact form 

• Confirm final headcount

• Secure your Day of Insurance policy 

• Schedule your final walkthrough 

Our goal during this month is simple: eliminate stress. We handle logistics behind the scenes so you can focus on being excited.


Wedding Week: Slow Down + Soak It In

By the time your wedding week arrives, you’ve already done the hard work.
